Short-Term Housing

We offer short term (3 months or less) housing for single visiting post docs, scholars, medical residency, scientists, and researchers. It is a shared apartment, currently located in Valley Crest Village, with the same gender. Each person will have their own locking bedroom and the kitchen, living room, and bathroom are shared with up to 2 other people. The apartment is fully furnished with furniture, dishes, toaster, etc. and has TV and internet. We provide linen service weekly. These apartments are non-smoking, one person per bedroom, and overnight guests are not allowed. We require a 14 day minimum stay and a 14 day notice of departure is required if one decides to move to alternate living arrangements. Conference Services

Housing and Dining Services offer conference services to Washington State University affiliated groups, primarily during the summer. Examples of groups using Housing and Dining Services during the summers include FFA, New Coug Orientation, and Washington State University athletic camps. Please use the drop down menus below to find information about our process, pricing and more. 

Summer Conference housing is available from May 18  - July 31, 2026.

    • Staff checks for damages to WSU property (rooms, halls or grounds) and assess charges following each checkout
  • Parking Permits 
    • Every vehicle must have a parking permit to park on-campus. Contact WSU Parking and Transportation for rates and instructions for purchasing and using your parking permit. 
  • Student Recreation Center Use 
    • If your group is interested in using the Student Recreation Center during your stay, please reach out to University Recreation for details on facility hours and purchasing passes. 
Planning Your Conference or Camp

The contract process

  • You (as the conference organizer) will start the contract process by completing the Summer Conference/Camp Housing and Dining Inquiry Form. 
    • You can expect to receive a response to this form from Conference Staff within 5 - 7 business days. 
    • Camp and conference groups are billed as one entity; we are unfortunately unable to process individual payments/registrations. 
  • Conference staff will work with you to determine the residence hall option and dining schedule that best fits your group's needs and budget, and they will send you a draft contract for review. 
  • Your conference will be booked once you have signed and returned the contract.

4 to 6 months out 

2 to 4 months out 

  • You will receive a conference contract. You must sign and return the contract to Conference Staff via email. 
  • Once your signed contract has been returned, Conference Staff will provide you with a list of available rooms to which you can assign your participants. 

1 to 2 months out 

  • You will send a Certificate of Liability Insurance (if required) to Conference staff via email. 
  • If participants are minors, you will complete and submit registration for your event through the WSU Compliance and Risk Management Office 

14 days before arriving at WSU for your event 

  • You will provide a guaranteed number of participants for Dining Services. 
  • Conference Staff will schedule a pre-conference meeting to discuss logistics and final arrival details for your group. 

7 days before arriving at WSU for your event 

  • You will provide a final roster of participants and their room assignments to Conference Staff via email. 

During your event 

  • Conference participants check in at the assigned residence hall, or the Conference Staff signs out all keys to the conference organizer to distribute. 
    • If any room changes were made during check-in, a new roster is due to Conference Staff by 10 a.m. the day following check-in. 
    • If any participants on the roster will no longer be staying on campus, keys/cards are due to the Conference staff within 24 hours of check-in to avoid paying for that participant. 
  • Conference Staff is available to your group throughout your stay with us. You will be assigned a Conference Assistant who can help with anything that arises, including lockouts, lost keys, facility issues, etc. 
  • After checkout, the conference departs from campus. 

After your event 

  • We will compile the final housing and dining counts and email them to you (as the conference organizer) for review and confirmation. 
  • Once we receive confirmation, we will email you (as the conference organizer) a final master bill and payment instructions. 
Policies for Conferences

If your group stays on campus in WSU Housing for a camp or conference, you must follow and abide by university policies and procedures. This includes all participants, chaperones, coaches, parents, and personnel. 

Policies and procedures are detailed in the Summer Conference Residence Hall policies document that you were provided with your draft contract. Below you can find information on our most asked about policies and services: 

Damages and Fees 

  • Each camp or conference group is responsible for any damages during their time within the residence halls and/or dining facilities. 
  • All damages, cleaning fees, etc., will be issued to the group in the final billing statement. 
  • It is the camp or conference group's responsibility to secure reimbursement for any damages and/or fees from their participants. 

Keys 

  • All keys/access cards issued to camp and conference groups and their participants must be returned during the checkout process. Any keys not returned or unaccounted for will be deemed lost. 
  • Each lost or damaged key/access card will incur a replacement fee billed to the camp or conference group. 
  • It is the camp or conference group's responsibility to secure reimbursement for lost or damaged key/access card fees from their participants. 

Parking 

  • All vehicles must have a WSU parking permit to park on campus. 
  • Contact WSU Parking and Transportation to coordinate the purchase of parking permits for your stay. 

Laundry Facilities 

  • Each residence hall used for summer operations has laundry facilities, which are provided free of charge; however, you must bring your own detergent and cleaning supplies. 

Use of Residence Hall Lounges

  • Groups can use any residence hall lounges or common spaces in their assigned residence hall during their stay on campus. 

Smoking and Vaping 

  • All WSU facilities, including Residence Halls and Dining facilities, are tobacco-free, including the use of vapes. 

Alcohol 

  • Possession or consumption of alcoholic beverages in any residence hall or on university property is prohibited. 

Insurance 

  • WSU requires a Certificate of Insurance for groups not affiliated with WSU at least 30 days before arrival that insures the camp or conference group a minimum of: 
    • $1,000,000 for injury or death
    • $2,000,000 for an aggregate limit
    • $500,000 per occurrence of property damage

Youth and Minors on Campus 

  • As outlined in BPPM 50.32, Washington State University is committed to providing a safe environment for minors participating in university-sponsored programs and programs held in or on University-owned or—controlled property.
